Scope of This Policy

This Privacy Policy applies to information collected through the eQuality platform, the IEIT website, and any associated services, APIs, or communications provided by Impact Environmental Information Technologies.

This Policy does not apply to the environmental data underlying the eQuality scoring system, which consists of publicly available regulatory records and third-party data sources governed by their respective terms of access. This Policy governs only personal information collected directly from individuals who access or interact with IEIT's services.

Institutional users: If you access eQuality through an institutional agreement or enterprise integration, your organization's data processing agreement may supplement or modify the terms of this Policy. Please consult your organization's designated data contact for applicable terms.

Information Collected
Information you provide directly

IEIT collects information that individuals submit through the platform or in the course of communications with IEIT, including:

  • Name, professional title, and organizational affiliation
  • Work email address and contact information
  • Submission data entered through the platform, including property addresses, parcel identifiers, and intake responses
  • Underwriter notes and decision records associated with specific submissions
  • Correspondence and communications with IEIT support or business development
Information collected automatically

When individuals access the platform or website, IEIT may collect certain technical information automatically, including:

  • IP address, browser type, and device information
  • Pages visited, session duration, and navigation patterns
  • Authentication logs and access timestamps

This technical information is used for security monitoring, platform performance, and service improvement. It is not used to build individual profiles for marketing purposes.

How Information Is Used

IEIT uses collected information for the following purposes:

  • Platform operation: Processing submissions, generating eQuality scores, and maintaining the workflow record associated with each submission.
  • Account and access management: Authenticating users, managing institutional access credentials, and enforcing platform governance rules.
  • Audit and compliance: Maintaining immutable records of score outputs, underwriter decisions, and model version identifiers in accordance with the eQuality governance framework.
  • Communication: Responding to inquiries, providing service notifications, and delivering requested information about the platform.
  • Security and fraud prevention: Monitoring access patterns, detecting anomalous activity, and maintaining the integrity of the platform.
  • Product improvement: Analyzing platform usage in aggregate to improve service functionality and methodology.

IEIT does not sell personal information to third parties. Personal information is not used for behavioral advertising or cross-context tracking.

Disclosure and Sharing

IEIT does not sell, rent, or trade personal information. Information may be disclosed in the following limited circumstances:

Service providers

IEIT engages third-party service providers to support platform infrastructure, data storage, and communications. These providers are contractually obligated to process data only as directed by IEIT and in accordance with applicable privacy law.

Institutional agreements

Where platform access is provided through an institutional agreement, submission data and decision records may be accessible to authorized personnel within that institution as defined in the applicable agreement.

Legal requirements

IEIT may disclose information where required by applicable law, court order, or regulatory demand. Where legally permissible, IEIT will notify affected parties prior to disclosure.

Business transfers

In the event of a merger, acquisition, or sale of all or substantially all of IEIT's assets, personal information may be transferred as part of that transaction. Affected individuals will be notified prior to any such transfer becoming subject to a materially different privacy policy.

Data Retention

IEIT retains personal information for as long as necessary to fulfill the purposes described in this Policy, comply with applicable legal obligations, and maintain audit records required under the eQuality governance framework.

Submission records, score outputs, and underwriter decision logs are retained for a minimum period consistent with institutional recordkeeping standards applicable to environmental risk assessments. Specific retention periods may be defined in applicable institutional agreements.

Requests for deletion of personal information are subject to IEIT's legal and contractual obligations, including immutability requirements that apply to scored submission records.

Section 06
Security

IEIT implements technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. These measures include access controls, encrypted data transmission, authentication requirements, and audit logging.

No method of electronic transmission or storage is entirely secure. IEIT cannot guarantee absolute security of information transmitted through the platform. Individuals are responsible for maintaining the confidentiality of their access credentials.

Individual Rights

Depending on applicable jurisdiction, individuals may have the following rights with respect to their personal information:

  • Access: The right to request confirmation of whether IEIT processes personal information, and to obtain a copy of that information.
  • Correction: The right to request correction of inaccurate personal information.
  • Deletion: The right to request deletion of personal information, subject to legal and contractual retention obligations.
  • Portability: The right to receive personal information in a structured, machine-readable format where technically feasible.
  • Objection: The right to object to certain processing activities, including direct marketing.

To exercise any of these rights, submit a written request to privacy@equalityindex.io. IEIT will respond within the timeframe required by applicable law. Identity verification may be required prior to processing requests.

Cookies and Tracking

The eQuality platform and IEIT website may use cookies and similar technologies to support authentication, session management, and platform performance. IEIT does not use third-party advertising cookies or behavioral tracking technologies.

Most browsers allow users to control cookie preferences through browser settings. Disabling certain cookies may affect platform functionality, including authentication and session continuity.

Third-Party Services

The eQuality platform may incorporate third-party infrastructure services - including cloud hosting, database, and authentication providers - necessary for platform operation. These services are governed by their own privacy policies and are selected on the basis of their security and data protection standards.

Links to third-party websites appearing on IEIT's site are provided for reference only. IEIT is not responsible for the privacy practices of third-party sites and encourages individuals to review applicable policies before providing information to third parties.

Section 10
Children

The eQuality platform is intended solely for institutional and professional use. IEIT does not knowingly collect personal information from individuals under the age of 18. If IEIT becomes aware that personal information has been collected from a minor without appropriate consent, that information will be deleted promptly.

Section 11
Changes to This Policy

IEIT may update this Privacy Policy from time to time to reflect changes in applicable law, platform functionality, or organizational practices. Material changes will be communicated to registered users via email or prominent notice on the platform prior to taking effect.

The effective date at the top of this Policy reflects the date of the most recent revision. Continued use of the platform following notice of material changes constitutes acceptance of the revised Policy.
